Terms & conditions

These terms cover the training services The AI Lab provides. They are written in plain English. By booking a workshop with us, you agree to them. If anything is unclear, email hello@theailab.co.uk before you book.

1. Who we are

The AI Lab provides practical AI training for teams, based in Scotland and delivered across the UK. Our address is 5 South Charlotte Street, Edinburgh, EH2 4AN. In these terms, "we" and "us" mean The AI Lab, and "you" means the business booking the training.

2. What we provide

We deliver a productised training workshop: a repeatable method, taught in a single day, using the tools your team already has, with safe-use guidance tailored to your sector. We teach and coach. We do not run a discovery project, audit your business, build custom tools or automations, or write your AI policy. Deep, business-specific build work is a separate, paid engagement and is not covered by these terms.

3. Bookings and prices

Prices are published on our site and are exclusive of VAT. A booking is confirmed once we have agreed a date in writing and any deposit due has been paid. Per-delegate places on an open cohort are confirmed when payment is received. The dedicated team session is for up to ten people and is a one-day minimum.

4. Changes, cancellations and rescheduling

If you need to move or cancel a confirmed date, please tell us as early as you can and we will do our best to accommodate it. If we ever have to reschedule (for example, through illness), we will agree a new date with you or refund any payment for a session we cannot deliver.

5. What you are responsible for

  • Providing a suitable room (for in-person sessions) or a working video link (for virtual sessions), with internet access for attendees.
  • Making sure attendees can sign in to the tools used on the day. Free versions are fine; you do not need to buy licences first.
  • Deciding what company or client information your team puts into AI tools. We give guidance on safe use, but the decision and the policy remain yours.

6. Tools and licences

The workshop uses third-party AI tools (for example, Microsoft Copilot, Claude, ChatGPT, Perplexity and Google Gemini). We are not affiliated with these providers, and any prices we mention for them are indicative only. Your use of those tools is governed by their own terms, not ours.

7. Course materials

Any materials we provide are for your team's internal use. We keep ownership of the method and the materials; please do not resell or redistribute them outside your organisation.

8. Confidentiality

We do not need to see your confidential work to deliver the training, and we ask you not to share it with us unnecessarily. Anything commercially sensitive that is shared during a session is treated as confidential by both sides.

9. What we can and cannot promise

We will deliver the workshop with reasonable skill and care. AI tools change quickly and results depend on how your team applies what they learn, so we cannot guarantee a specific business outcome. Nothing in these terms limits our liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot be limited by law. Subject to that, our total liability in connection with a workshop is limited to the fees you paid for it, and we are not liable for indirect or consequential loss.

10. Data protection

We handle personal information as described in our privacy notice.

11. Governing law

These terms are governed by the law of Scotland, and disputes are subject to the courts of Scotland.

12. Changes to these terms

We may update these terms from time to time. The version that applies to your booking is the one in force on the date we confirm it.
